01
Terms & Conditions
These terms apply when you browse MehndiFood.com, create an account or place an order through us. Please read them before ordering. By completing an order, you agree to these terms.
Who we are and what we do
MehndiFood is an online ordering and coordination service for South Asian event catering. We take your order and payment, pass the confirmed details to the named caterer and remain your main point of contact. The caterer shown on the listing prepares the food.
You must be at least 18 and able to enter a contract. If you order for a family, business or other group, you confirm that you have authority to do so and that the order details are accurate.
Our contract with you
Menus, availability and prices shown on the site are invitations to order. Your order is accepted when we send a written confirmation after payment and the caterer has accepted the booking. If an order cannot be accepted, we will tell you and return any amount taken.
Your confirmation records the caterer, menu, guest count, event date, collection or delivery arrangement, price and any agreed extras. Tell us promptly if anything is wrong.
02
Orders & payments
The full amount is payable at checkout unless the checkout clearly states otherwise. Prices include VAT where applicable. Any delivery, hundee collection or other optional fee will be shown before you pay.
Guest numbers must meet the minimum and increments shown for the selected package. Requests made after confirmation are not guaranteed. Any agreed change may alter the price, timing or availability and only takes effect when confirmed by MehndiFood in writing.
Payments are handled by our payment provider. MehndiFood does not receive or store your complete card number or security code.
03
Changes, cancellations & refunds
To ask for a refund, submit the refund request form by 11:59pm on the fifth calendar day, counting the order date as day one. A MehndiFood team member will review the request before any refund is approved.
If a voluntary cancellation refund is approved, we will normally retain £10 for the service and administration already provided. This deduction will not apply where MehndiFood or the caterer cancels, where the contracted service is not supplied, or where the law requires a full refund.
After the five-day window, you are not automatically entitled to cancel for a full refund. We will consider what work, ingredients and other costs have already been committed and whether any loss can reasonably be avoided. Any cancellation charge will reflect the loss caused by the cancellation rather than operate as a penalty.
Event catering booked for a specific date and perishable food will generally not carry the standard 14-day cooling-off right. Nothing in these terms limits your statutory rights if food or services are faulty, unsafe, not as described or not provided with reasonable care and skill.
Approved refunds are returned to the original payment method. Your bank or payment provider may take several working days to show the credit.
If something goes wrong
Contact MehndiFood as soon as reasonably possible, ideally while the caterer can still investigate or put the issue right. Keep photographs and relevant packaging where appropriate. We will review the order record, speak with the caterer and offer the remedy required by law or otherwise agreed with you.
04
Collection, delivery & hundees
Collection and delivery
Your confirmation will state whether the order is for collection or delivery. For collection, you are responsible for arriving at the agreed time and safely transporting the food. Delivery is available only where shown at checkout; the delivery area, fee and estimated handover time will be confirmed before payment.
Event timings can be affected by traffic, access and circumstances outside reasonable control. Please provide accurate access instructions and a reachable telephone number. We will keep you informed of a material delay and work with the caterer on a reasonable solution.
Large pots and hundees
Large serving pots and hundees remain the caterer’s property. The customer named on the order is responsible for them from handover until they are returned or collected.
- You do not need to wash the pots or hundees.
- Return them to the caterer free of charge within 24 hours after the food is served; or choose and pay for hundee collection when booking, where available.
- If collection was booked, make the items reasonably accessible at the agreed time. A further reasonable collection fee may apply after a missed collection caused by unavailable access.
- If a pot or hundee is lost, missing or damaged beyond fair wear while in your care, the main customer may be charged the reasonable repair or replacement cost, up to £100 per item. We will explain and evidence the charge.
05
Food, allergens & safety
Ingredient and allergen information will be made available before you complete the order and again with the food or at handover where required. Tell us about allergies and dietary requirements before ordering and check the final information supplied with the food.
Food is prepared in working commercial kitchens. Unless the caterer expressly confirms otherwise in writing, we cannot promise an allergen-free environment. Severe allergies should be discussed with MehndiFood before payment so the caterer can confirm whether the order can be safely accepted.
After collection or delivery, you are responsible for following any storage, reheating, holding and serving instructions and for keeping food at a safe temperature. Do not serve food that you reasonably believe has become unsafe.
06
Customer reviews
Customers may be invited to leave one review after a completed order. Reviews must be honest, relevant and based on the reviewer’s own experience. We may remove content that is abusive, unlawful, contains personal information or does not relate to the order.
Reviews cannot normally be edited after submission. Not submitting a review does not create an automatic rating. We may retain moderation records where reasonably necessary to protect the integrity of the review system.
07
Privacy Policy
MehndiFood.com is the data controller for the personal information described in this notice. For privacy questions or rights requests, logged-in customers can use the support contact shown in My Account or reply to a MehndiFood order email. We may ask for information needed to verify your identity before discussing an order or account.
Information we collect
- Identity, account and contact details, including your name, email, telephone number and login information.
- Order and event details, including the event date, postcode or address, guest count, chosen menu, collection or delivery details and order history.
- Dietary and allergen information you choose to provide. This can include health information and will be limited to what is needed for the order.
- Payment and transaction details supplied by our payment provider; we do not receive your complete card details.
- Messages, refund requests, complaints, reviews and records of our dealings with you.
- Technical information such as device, browser, IP address, security logs and cookie choices.
Why we use it
We use information to create and secure accounts, take and coordinate orders, arrange payment, collection or delivery, provide allergen information, answer questions, investigate refunds and complaints, prevent fraud, maintain records and improve the service.
Our legal bases are performance of our contract, compliance with legal obligations, our legitimate interests in operating and protecting the service, and consent where required. Where allergy information amounts to special-category health data, we will ask for explicit consent to use and share it for the order. You may withdraw consent, but this may mean we cannot safely fulfil the relevant request.
Who receives it
We share only what is necessary with the caterer fulfilling the order and with service providers such as payment processors, website hosting, email, fraud prevention and delivery or hundee-collection providers. We may also share information with professional advisers, insurers, regulators or law enforcement where legally required. We do not sell personal information.
If a provider processes information outside the UK, we use an approved transfer safeguard or another lawful mechanism.
How long we keep it
- Order, payment, refund and accounting records: normally six years after the relevant transaction or financial year.
- Account information: while the account is active and normally up to 12 months after closure, except where linked records must be kept longer.
- Event-specific dietary and allergen notes: normally deleted or anonymised within 30 days after the event unless needed for an open complaint, safety incident or legal obligation.
- Enquiries and complaints: for as long as reasonably needed to resolve them and protect legal rights.
- Reviews: while they remain relevant to the service, subject to legal rights and our moderation records.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction or transfer of your information, object to certain uses, or withdraw consent. You may also complain to the Information Commissioner’s Office at ico.org.uk. We may need to verify your identity before acting on a request.
Our service is for adults placing catering orders and is not directed at children.
09
General terms
We do not exclude liability where it would be unlawful, including liability for death or personal injury caused by negligence, fraud, or your statutory consumer rights. Otherwise, we are responsible for foreseeable loss caused by our breach. We are not responsible for business losses where you order as a consumer.
If events outside reasonable control prevent performance, we will contact you and take reasonable steps to reduce the effect. If the service cannot be provided, we will explain the available alternative or refund for the part not supplied.
These terms are governed by the laws of England and Wales. Consumers may bring proceedings in the courts available to them under applicable UK law. If one term is unenforceable, the remaining terms continue.
